Description
JOB SUMMARY: As an ambassador of Arctic IT, provide exceptional reception service, offering a welcoming experience to Arctic IT business clients and guests both in person and on the phone. Support Arctic IT staff with daily administrative duties, including general office functions. This position is responsible for, answering the phone, directing calls, greeting visitors, sorting and distributing incoming and outgoing mail, signing for packages.

ESSENTIAL FUNCTIONS:
Front Desk
• Answer, screen and direct incoming calls
• Take and deliver phone messages to staff
• Greet and escort visitors to meeting rooms or waiting area; communicate visitor arrival
• Sort and distribute incoming and outgoing mail
• Provide information and general assistance
• Other duties as assigned
Office Support
• General administrative and clerical support
• Open and close the office
• Maintain reception, kitchen, workroom areas, closets, boardroom, and meeting rooms
• Performs record keeping activities such as scanning, filing, and periodic disposition as guided by direct manager
• Notifies staff of deadlines and collects signed timesheets and expense reports
• Assists meeting organizers in preparing training or conference room for meetings, events, and training; i.e., order lunch and prepare coffee
• Coordinate travel arrangements for team members on request
• Prepare coffee and keep kitchen supplies stocked and available
• Monitor and order office supply inventory; i.e., pens, paper, toner, business cards, etc.
• Prepare daily deposits
• Coordinate with facilities landlord and security for work area repairs, snow/ice removal, and report vagrant activities not consistent with business atmosphere
• Other duties as assigned

Client Service
• In conjunction with team, provide excellent client service by receiving and logging “support requests” into computer applications
• Provide information to managers and team leads regarding client inquiries
• Maintain information regarding clients in computer applications
• Work with team members to coordinate outbound shipping of packages to clients
